Setting Up the UK Forms Database for Multiple Users

To set up the UK Forms database for use by multiple users, follow the steps below:

  1. Locate the UK Forms database
    Obtain the UK Forms database file from the user's Roaming folder.

  2. Move the database to a shared location
    Place the UK Forms database in a common location on a network or cloud drive/server that is accessible to all users.


  3. Configure UK Forms on each PC
    On each user's PC:
    • Open UK Forms Settings.
    • Select the option to manually specify the UK Forms database folder.
    • Enable the Relative Path option.

      Enable the Relative Path setting. This ensures that file locations stored in the UK Forms database are saved as paths relative to the common database folder, rather than as PC-specific absolute paths. This is important when the database is accessed from multiple PCs, as each user's mapped drive or local drive letter may be different. All referenced files (such as generated documents, logos, and signatures) should therefore be stored within the common shared folder structure.

Optional / Recommended actions:
  1. Store generated files in the shared location
    It's a good practice to save all eom project files generated within folders in the common network/cloud location. This ensures that the files remain accessible to the UK Forms registry when required, while also helping to keep the work organised and properly backed up.


  2. Store logos and signature images centrally
    Any logos, signatures, or other images used by UK Forms should also be stored in the same common network/cloud location. This ensures that certification can be generated consistently from any user's PC.
